The limits of a fragmented voice

Hospital Alemão Oswaldo Cruz is a leading private healthcare institution in São Paulo, Brazil, with over 129 years of history and roughly 3,000 employees spanning patient care, administrative, and frontline shift-based roles. Its Marketing and Internal Communications team carries a heavy mandate: strengthen the brand, run campaigns, and keep employees connected to the hospital's culture and strategic goals.

Before Workvivo, that job meant working across a patchwork of tools.

“Our internal communication platform had limitations that affected engagement, the spread of organizational culture, and access to information,” says Dayane Da Silva Nascimento, Senior Marketing Analyst at Hospital Alemão Oswaldo Cruz.

Technical limitations forced the team to run an intranet alongside a separate communications platform, while employees who couldn't step away from patient care, especially clinical and shift-based staff, still relied on physical bulletin boards just to stay informed.

Building one channel employees actually open

Hospital Alemão Oswaldo Cruz chose Workvivo for its social-media-like usability, something that made adopting a new platform feel less like a mandate and more like something employees would want to open, along with its established track record in healthcare. Team segmentation was the deciding feature, with Spaces, News, and Events rounding out the case for switching.

Rollout wasn't left to chance. The team built a multi-channel campaign using totems, bulletin boards, legacy tools, and even employees' desktop wallpapers, backed by a dedicated visual identity and leadership training. Launch day became an event in itself: every employee received a “boarding pass”, earning a stamp for each stage completed. Fifteen employees joined a network of platform ambassadors called “Top Voice,” receiving early access and personalized t-shirts to help spread the word.

The strategy worked fast. More than half of Hospital Alemão Oswaldo Cruz employees had adopted Workvivo within the first month, a number that climbed past 90% within a year, quickly enough that other departments started coming to the communications team asking to publish through the platform themselves. In one notable shift, HR now publishes internal job openings directly through Workvivo using a standardized template – a process that previously required every posting to go through the marketing team.

New use cases followed quickly. “We run themed events such as ‘Safety Month’, where several actions happen across different days and times. The event calendar was essential, and this was a resource that didn’t exist in our previous tool,” Dayane says.

From 50% to 90% in under a year

Metrics highlights:

  • 50%+ adoption within month one, more than 90% within a year
  • Average engagement rate of 6.59% over 12 months, peaking at 9.4% in September 2025
  • 6,670 posts published, averaging 556 per month
  • Curated editorial posts reach 13x more than automated birthday posts
  • Posts shared globally reach roughly 30x more than posts sent only to followers

Those numbers reshaped how the communications team works day to day. Instead of leaning on email and other legacy channels, the team began experimenting with video, polls, and engagement campaigns it could actually measure.

“Workvivo also gave us much stronger measurement capabilities,” Dayane says. “Today we track indicators such as reach, views, engagement, reactions, comments, and campaign participation.”

Those insights fed directly into strategy: curated content and global posting drove dramatically more reach, and video added another 1.6x on top, three findings that now anchor Hospital Alemão Oswaldo Cruz's next 90-day content plan. Meanwhile, internal email volume dropped significantly, with emails now reserved only for critical topics or communications requiring immediate, wide reach. The hospital's legacy intranet was retired altogether.

A new standard for reaching every shift

Workvivo centralized Hospital Alemão Oswaldo Cruz's internal communications, and changed who could access them. Clinical and shift-based staff, who don't always have time for a computer or company email between patients, now check in on the app before or after a shift, or during a break.

Today, approximately 60% of Hospital Alemão Oswaldo Cruz's active platform users are frontline and clinical staff – the audience that was hardest to reach before Workvivo. Looking ahead, with 87% of content currently published as updates, the communications team's 90-day plan aims to double video content, expand global-audience posting from 14% to over 30%, and diversify formats with more articles and events.
