Navigating the Shift: The Future of AI in Internal Communications

AI is no longer just a futuristic concept or a tool for casual experimentation. In a recent live session, our Global Director of Services, Colum Nugent, sat down with industry visionaries to unpack how AI is actively reshaping the landscape of internal communications, human resources, and the overall employee experience.

The panel featured our CEO and Co-Founder, John Goulding, The Curious Route’s Joanna Parsons, and Gallagher AI Transformation Director Sonya Poonian.

They shared critical insights on moving past the hype and focusing on the practical, human-centric adoption of AI in the workplace.

Here, we share some of our top takeaways from the session.

Redefining the digital destination: Introducing Workvivo HQ

Kicking off the discussion, John highlighted a major challenge modern organizations face: AI fragmentation. While there’s an abundance of AI features hitting the market, employees often struggle to find a single, cohesive place to leverage them within their daily routines.

“Transformation doesn’t happen just because AI exists,” John noted. "”It happens when an organization makes a real impact by bringing AI directly into the flow of work.”

Debunking the “content factory” misconception

A common trap for internal communicators is using AI purely to generate more content at faster speeds. Joanna quickly dismissed the idea that more volume equals better communication.

Instead of generating generic text, Joanna shared an inspiring real-world case study of an internal communicator who built a specialized AI agent to replicate a senior leader’s unique tone of voice.

By training the agent on past transcripts, emails, and town hall speeches, the communicator was able to dramatically accelerate the feedback and approval loop with the executive – saving time while preserving authentic messaging.

Ultimately, Joanna emphasized that the standard output of an LLM can be average or “beige.” The true value lies in using AI as a “drafting partner,” leaving the creative thinking, nuance, and strategic execution safely in human hands.

The “Three Ps” of AI transformation

When organizations roll out AI, they often treat it as a routine IT upgrade rather than a fundamental cultural shift. Sonya warned against this narrow view, stating that if internal processes or operating models are already clunky, AI will simply amplify that noise.

To successfully track and articulate the ROI of AI tools, Sonya introduced the “Three Ps Framework”:

  1. Process: Monitoring procedural metrics like speed, cycle time, throughput, and error reduction on manual tasks.
  2. People: Tracking tangible time savings, but more importantly, looking at what employees are doing with that newly reclaimed time (e.g., shifting toward strategic advisory roles).
  3. Performance: Aligning AI use with core business KPIs, such as employee understanding, organizational sentiment, and manager confidence.

Looking ahead: The skills that can’t be replaced

As the landscape continues to evolve, what does it take for a communicator to stay ahead? Joanna and Sonya agreed that the ultimate safeguards for futureproofing your career are deeply human traits: curiosity and active listening.

AI can mimic patterns, but it cannot genuinely wonder, empathize, or navigate the complex internal politics of a diverse workforce.

Moving forward, the organizations that win won’t just be those that adopt AI the fastest, but the ones that intentionally design it to simplify workflows, build trust, and elevate the human experience.
